How to enter an exhibit
Everyone can enter exhibits for the Show. There are separate sections for Horticulture, Floral Artistry, Domestic & Craft, Art and Photography, and there is a Junior section. The entry procedure is outlined below, but precise details are given each year in the programme.
As the Rules and Notes within each division should be noted carefully, it is important to read through the schedule in the programme and follow the entry procedure detailed therein. Entrants for Junior classes should check their entry procedure separately. GOOD LUCK!
- Each entrant must complete an official entry form. These are usually enclosed in the programme and more can be obtained from a number of sources as stated in the programme. There is no entry fee but entrants attending the show are expected to purchase an admission ticket.
- Only one person’s entries should go on a form but there is no limit to the number of classes that he or she may enter. In any class not more than one entry per person or per garden is allowed.
Take the entry form to the ‘entry collection location’ noted in the programme, no later than the Monday before the Show. Entries cannot be accepted after this day.
- Bring the exhibit(s) to the Recreation Ground on the day of the Show, between 8 am and 10.25 am. Collect an Exhibitor’s card from the desk outside the main exhibition tent and display the exhibit in the appropriate part of the marquee, placing the card with only the Division and Class Number showing.
- Judging commences at 10.30 am, by which time all exhibitors must have left the show marquee.
- Presentation of some 40 cups to winners will usually take place at 5.30 pm in the Main Arena. Names of the cup winners will normally be displayed prominently in the main marquee and by the Secretary’s tent from 4 pm. In some years there is a separate presentation of Junior cups earlier in the afternoon near the children’s sports area.
Exhibits may normally be collected from 6 pm. Plants, flowers, vegetables and other exhibits not collected will be auctioned at 6.15 pm, with the proceeds from the auction going to offset the costs of the Show.
- Prizes take the form of small amounts of cash. Prize money may be collected on Show day at the Secretary’s Tent between 6.05 pm and 6.30 pm. After that time, arrangements should be made with the Treasurer (tel 01372 466735).
- Please check in the programme for precise details and to verify this information.
Regulations for Entries
- Exhibitors must provide their own vases, dishes, etc except where otherwise stated.
- All exhibits must have been grown or produced by the exhibitor.
- The exhibits must, unless otherwise stated, be of one cultivar of a kind.
- The judges are empowered to withhold prizes where they consider the standard not to be sufficiently high.
- All objections must be made on the day of the Show, in writing, addressed to the Hon Secretary, no later than 3 pm.
- The officials of the Society and the show organisers shall not be responsible for any loss of, or damage to, exhibits or exhibitors’ property.
Procedure for Cup Winners
- Cup winners are requested to take their trophies by 31 August following the Show, to D&N Design, 2 Weston Road, Weston Green (off Hampton Court Way) for engraving at the cost of the Society. Please ring 020 8398 9639 to ascertain opening times.
- Trophies should be returned by the end of June the following year, in clean condition, to Diana Kale, 19 Rythe Road, Claygate (tel 01372 465844).
